These terms apply when you book any session, block or holiday camp with ActiveED Multi-Sports. By booking, you agree to these terms on behalf of yourself and your child. Please read them carefully before booking.
If you don’t agree with any part of these terms, please don’t book. If you have questions, email us before booking and we’ll happily talk them through.
Bookings are made through our booking system at activeeducationmulti-sports.com/booking. A booking is confirmed once payment has been taken and you receive a confirmation email.
When you book, you must provide accurate and complete information about your child, including:
We rely on this information to keep your child safe. If something changes, please tell us as soon as possible.
Each programme has a defined age range. Children must fall within the stated range to attend. If you’re unsure which programme is right for your child, email us before booking.
Payment is taken in full at the time of booking. Bookings are not confirmed until payment is received.
Prices are shown on the booking page and may change from time to time. The price you pay is the price shown when you complete your booking.
Payment is processed securely through Bookwhen and Stripe. We do not store your card details. If you would prefer to pay another way, email us before booking.
Half-term blocks are refundable up to 7 days before the block starts. After that, we cannot offer refunds, but we will offer a credit toward a future block or one make-up session.
Holiday camps are refundable up to 14 days before the camp starts. After that, no refund is available, but we will offer a credit toward a future camp.
Drop-in sessions are pay-per-session and non-refundable once booked, as they are released for booking by other families on a rolling basis. If you cannot attend, please let us know as soon as possible so we can release the place.
If you miss a session in a half-term block, we offer one free make-up session per block where availability allows. Make-up sessions must be used within the same half term and must be requested in advance by email.
If we cancel a session for any reason (illness, weather, venue issues, low numbers), we will offer one of the following at your choice:
Where required by the Consumer Contracts Regulations 2013, you have 14 days from the date of booking to cancel and receive a full refund, unless the first session has already taken place within those 14 days. If you have attended any session before cancelling, the value of attended sessions will be deducted from your refund.
We will:
By booking, you agree:
You must tell us about any medical conditions, allergies, medication or recent illness affecting your child. We cannot accept responsibility for harm caused by information you have not shared with us.
Our coaches are paediatric first aid trained. If your child needs first aid during a session, we will administer it and contact you as soon as possible. If we judge that medical attention beyond first aid is needed, we will call 999 and contact you immediately.
If your child requires medication during a session (for example, an inhaler, EpiPen, or insulin), this must be discussed and agreed with us before booking. Medication must be clearly labelled, in date, and accompanied by clear written instructions.
Please don’t bring your child to a session if they are unwell, especially with vomiting, diarrhoea, fever or anything contagious. We follow standard 48-hour exclusion guidance for sickness and diarrhoea.
We use positive, age-appropriate behaviour management. If a child’s behaviour is putting themselves, other children or staff at risk, or repeatedly disrupting the session, we will speak with you to discuss support and strategies. In rare cases, we reserve the right to ask a child not to attend further sessions, in which case we will refund any unused sessions.
We expect parents and carers to behave respectfully toward staff, other parents and other children. Abusive, threatening or aggressive behaviour will not be tolerated. We reserve the right to refuse service to anyone who behaves in this way, and in serious cases to refund unused sessions and end the relationship.
We may take photographs at sessions for use on our website and our Instagram, Facebook and TikTok accounts. Photography is opt-in only: we will only photograph your child if you have given consent at the point of booking. You can withdraw consent at any time by emailing us.
If we want to use a photograph of your child in a printed leaflet, marketing material outside the platforms above, or in any new context, we will ask you separately each time. Full details are in our Privacy Policy.
We are responsible for losses you suffer that are a foreseeable result of our breaking these terms or our failing to use reasonable care and skill. We are not responsible for losses that are not foreseeable.
Sport involves physical activity and a level of normal risk. We are not responsible for:
We don’t exclude or limit liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be excluded by law.
We hold full public liability insurance for all sessions and venues.
How we handle your personal information is set out in our Privacy Policy, which forms part of these terms.
We may update these terms from time to time. The version that applies to your booking is the version published on the website at the time of booking. For significant changes that affect existing bookings, we will email you to let you know.
These terms are governed by English law. Any dispute will be subject to the non-exclusive jurisdiction of the courts of England and Wales.
If you have a complaint, please contact us first at ActiveEDMS@outlook.com — we will always try to put things right.
